RECOMMENDATION

Recommendation

It is recommended the Commission discuss relocating their regular meetings to the Library | Parks and Recreation

Body

BACKGROUND/DISCUSSION

The Commission had initially conducted its meetings (in 2022) in a virtual format due to social distancing policies as with all commissions at the time due to the COVID pandemic. Eventually, the commission conducted its meetings in a hybrid format from the City Manager’s Conference Room in S.S.F. City Hall and has since conducted its meetings strictly in-person from this location. Because there is not a virtual option for the public to view the meetings, members of the public need to attend in-person which can be convenient for some but can be inconvenient for others.

In January of 2024, the commission conducted its meetings from the Library | Parks and Recreation Center (due to a scheduling conflict at City Hall). Some commissioners expressed how much more convenient the location was relative to access to public transportation as well as it being centrally located within the city. City staff have also heard from members of the public their desire to attend meetings, however, chose not to attend due to the “inconvenient” location at City Hall.

If the Commission chooses to relocate to the Library | Parks and Recreation Center, the meetings would be in a location where building attendants would be present before, during, and after each meeting and the location would be active with members of the public who could also choose to attend. Available room options for the commission would be the City Council Chambers, Gallery Room, or the Social Hall.

CONCLUSION

The Commission will consider relocating regular meetings to the Library | Parks and Recreation Center.
