Title

Resolution approving and authorizing the City Manager or their authorized designee to execute on-call services agreements for event production services including Concert in the Park and other City special events.

WHEREAS, the City of South San Francisco (“City”) Parks and Recreation Department issued a Request for Proposals (“RFP”) seeking qualified consultants and vendors to provide on-call event production services for the Concert in the Park and other City special events; and

 

WHEREAS, the requested services included event production support such as staging, sound, lighting, talent procurement, furnishings, staffing, logistics, vendor coordination, and security services; and

 

WHEREAS, proposals were solicited through the City’s OpenGov procurement portal and were evaluated by a City staff review panel based on criteria, including experience and qualifications, event approach and production planning, technical capabilities, talent procurement, safety and security, cost, and staffing and project management; and

 

WHEREAS, City staff determined that GFI Entertainment LLC, Moveable Inc., Brahma Media Group, Latin & Asian Hospitality Group, and Degy Consulting Services LLC were best qualified to provide the requested services based on demonstrated competence, qualifications, pricing, and ability to support high-quality community events; and

 

WHEREAS, the proposed agreements will provide the City with flexibility to procure event production services on an as-needed basis for Concert in the Park and other special events over an initial three-year term, with the option to extend for up to two additional one-year terms; and

 

WHEREAS, funding for the agreements will be included within the Parks and Recreation Department operating budget and event-specific project budgets.

 

NOW, THEREFORE, BE IT RESOLVED that the City Council hereby awards on-call agreements for event production services, a form of which is attached hereto and incorporated herein as Exhibit A, for Concert in the Park and other City special events to GFI Entertainment LLC, Moveable Inc., Brahma Media Group, Latin & Asian Hospitality Group, and Degy Consulting Services LLC for an initial three-year term, with the option to extend for up to two additional one-year terms, and in an annual amount up to but not to exceed $400,000 per fiscal year for each vendor.

 

BE IT FURTHER RESOLVED that the City Council authorizes the City Manager or authorized designee to execute the agreements on behalf of the City in substantially the same form as Exhibit A and as approved to form by the City Attorney, and authorizes the City Manager or authorized designee to approve future task orders and execute amendments within the approved contract authority and in accordance with the terms of the agreements.
